Installed Equipment keeps track of the equipment that lives at your customers’ properties: water heaters, furnaces, AC units, sump pumps, generators, and anything else you install or service. Every item is tied to a contact and a property, so the next time that customer calls you know exactly what is in their home, when it went in, and what has been done to it since.
Installed Equipment is available on the Advanced plan. You can find it in the left sidebar of your dashboard under More > Installed Equipment.
BlueSuite has two equipment modules. Installed Equipment is for equipment at your customers’ properties. Company Equipment is for the things your own business owns and uses to do the work, like trucks, trailers, and tools. If you are tracking a customer’s furnace, you want Installed Equipment. If you are tracking the van you drive to the job, you want Company Equipment.
Go to More > Installed Equipment and click the button in the top right corner. You can record the following details:
Installed equipment connects to your jobs. From a job page you can add a new piece of equipment (it is automatically tied to the job’s contact and property, and the job is recorded as the installing job), or link equipment that already exists at that property. Each equipment page also shows its job history, so you can see every job that has touched it.
Every piece of equipment has a running service log. There are four entry types, and you can filter the list by each one: general notes, maintenance, repairs, and inspections. Over time this builds a complete history you can lean on when a customer asks what was done last visit, or when you are deciding whether a unit is worth repairing again.
This is where Installed Equipment earns its keep. When you set a warranty expiration or replacement date and enable reminders on the equipment, BlueSuite automatically creates notifications that send 30 days before each date. If you change a date later, the notification moves with it.
You can also add your own notifications from the equipment page for anything else, like an annual tune-up nudge. Each notification has:
Internal notifications follow your workspace notification settings, and the person who created the equipment always gets notified. Customer notifications are sent by email, so the equipment’s contact needs an email address on file. Once a notification has been sent it becomes part of the record and can no longer be edited or deleted.
Installed Equipment is turned on by default for plumbing, HVAC, chimney, and general contractor businesses. For other industries it starts turned off to keep the dashboard focused, but you can enable it any time in Settings > Modules.

Only if you want them to. Automatic warranty and replacement reminders send to both your team and the customer by default when reminders are enabled on the equipment, and you can change the recipients on any notification before it sends. Customer emails require the contact to have an email address.
The automatic reminder moves with the date and re-arms itself, even if it already sent for the old date. If you clear the date, the pending reminder is removed. Any name, subject, message, or recipient customizations you made are kept.
No. Sent notifications are kept as a historical record of what the customer and your team received, so they cannot be edited or deleted. Create a new notification instead.
