The Products & Services feature in BlueSuite allows you to create, manage, and reuse standard offerings across Invoices, Jobs, and Quotes. You can also create custom items when needed
When editing a job, quote, or invoice:
Each line item includes:
On the Advanced plan you can record what each thing you sell costs you, right next to the price you charge for it. BlueSuite then shows the markup on every line and the margin on every job, so you can see which work is worth doing more of.
This is the cost of what you are billing for. It is not the same as an expense, which is money spent running a job and is included on every plan, and it is not the same as labor, which is what your own team’s hours cost. Job profit subtracts all three. See Tracking Expenses and Time Tracking for those sides of it.
Turning it back off hides the cost fields without deleting anything you have already entered.
With the feature on, every line item gains a Unit Cost and a Markup field beneath the unit price. Enter a cost and a markup and the price is calculated for you. Change the price by hand instead and the markup updates to match, so the two can never disagree.
The markup field stays locked until you enter a cost, since there is nothing to mark up yet. Cost is optional on every line, and a line with no cost is left out of the margin math rather than treated as free, so a partly filled in quote still reports an honest number on the lines you have costed.
Typing the same cost over and over is a waste of time. Edit any item in your catalog and fill in its Cost field. From then on, adding that item to a quote, job, or invoice fills in the cost along with the price.
You can also map a Cost column when you import your catalog from a CSV file. Leaving it blank is fine, and it means the cost is not tracked rather than zero. Saving a custom line item as a new service with the This is a custom line item. Save it for later? checkbox carries its cost across too.
Open a job and look at the Job Analytics card. With costs recorded it breaks the money out into revenue, item costs, labor, expenses, and the profit and margin left over.
Sales tax is left out of profit entirely, since it is the customer’s money passing through on its way to the state. Discounts do come off, because a discount comes out of your margin. On a recurring job the line items are the scope of a single visit, so the card reports per visit.
Costs and markups never appear on a quote or invoice you send, a PDF you print, the client portal, or anything else a customer can open. Your customer sees the same price they always would.
Owners, admins, and managers see costs. Members and limited members do not until you grant it under Settings, then Team, then Roles & Permissions. That role also needs Show pricing, since a margin means nothing without the price it is a share of.
Granting that permission shows a member cost and markup on the line items themselves. The Job Analytics card is separate and stays with managers, admins, and owners, since it answers how profitable the job was rather than what one item cost.
Unit cost and markup are available on the iOS and Android apps as well, for anyone whose role is allowed to see them.
