Zapier Integration

The BlueSuite Zapier integration connects your workspace to over 7,000 apps so you can automate repetitive tasks without writing code. When something happens in BlueSuite, like a new request coming in, an invoice getting paid, or a customer accepting a quote, Zapier can automatically trigger actions in the other apps you use.

Zapier is an automation platform that connects web applications together. It uses “Zaps,” which are automated workflows that start with a trigger event and perform one or more actions in other apps. No coding is required.

For BlueSuite users, Zapier helps eliminate manual data entry, keep systems in sync, and respond to customer activity faster.

How to Connect Zapier to BlueSuite

1. Log in to your BlueSuite workspace.
2. Click Integrations in the left-side navigation menu.
3. Select Zapier from the list of integrations.
4. Click Connect to generate an API key for Zapier.
5. Copy the API key. You will need it when setting up your Zap.

Your API key is shown only once. Store it in a safe place. If you lose it, you can generate a new one from the Integrations page.

How to Create a Zap

1. Go to zapier.com and log in or create an account.
2. Click Create a Zap.
3. For the Trigger, search for and select BlueSuite.
4. Choose a trigger event (for example, Invoice Paid).
5. Connect your BlueSuite account by pasting the API key you generated earlier.
6. Test the trigger to confirm it is working.
7. For the Action, choose the app you want to connect (for example, Google Sheets, Slack, QuickBooks, etc.).
8. Configure the action by mapping BlueSuite fields to the target app.
9. Test the action, then click Publish to turn your Zap on.

Once published, your Zap runs automatically whenever the trigger event occurs in BlueSuite.

Available Triggers

Triggers are events in BlueSuite that start a Zap. All BlueSuite triggers are instant, meaning your Zap runs immediately when the event happens. There is no delay.

BlueSuite supports the following trigger events:

  Fires when a service request is created or updated.

  Fires when a customer accepts a quote.

Each trigger sends the full record, including the contact name, email, phone, property address, and all relevant details, so you have everything you need in your connected apps.

Available Actions

Actions are tasks that Zapier performs in BlueSuite when triggered by another app.

• Create New Request
  Creates a service request in BlueSuite. Includes fields for first name, last name, email, phone, project details, and optional address information.

This action is useful for turning form submissions, emails, or events in other apps into BlueSuite requests automatically.

Managing Your Connection

You can manage your Zapier integration from the Integrations page in BlueSuite.

• Generate a new API key if your current one is lost or compromised.
• Revoke an API key to immediately disconnect Zapier from your workspace.
• Manage your Zaps directly from your Zapier dashboard.

If you revoke an API key, any Zaps using that key will stop working until you reconnect with a new key.
