Quotes in BlueSuite allow you to create and send professional, detailed proposals to customers. With support for flexible pricing, clear itemization, and optional visuals, quotes help you close jobs faster and with confidence. Hereβs how it works.
To start a new quote:
+ New > Quote from the Navigation bar.You can save a quote at any time as a draft, even before assigning a contact.
Quotes support multiple line item types, giving you full control over how you present the scope of work:
You can drag to reorder line items and build a quote layout that matches the way you sell.
Apply discounts and tax as needed, then decide how the customer will pay. You can request a deposit only or split the full quote total into a payment schedule.
A schedule contains named payments with percentages or fixed amounts. The payments must add up to the total after discounts and tax. Only the first payment can be required as a quote deposit. Apply the payment-plan choice, then save the quote to keep it.
Optional quote items cannot be combined with a payment schedule. If the scope or price changes, check that the scheduled amounts still match the total. A completed or pending deposit payment locks the quote’s payment plan.
For setup, deposit collection, and installment invoicing, see Payment Schedules: Deposits and Installment Invoices.
The PDF includes your branding, line items, totals, and all client-facing content.
Customers can approve a quote directly on your phone in the BlueSuite app for iOS or Android. Use this when you are with the customer and ready to confirm the work.
Save the quote with a contact, review the scope and pricing with the customer, and set any required deposit. Receive Signature is available for draft quotes and quotes awaiting a response. You need permission to edit the quote and view its pricing and customer information.
If no deposit is outstanding, the quote becomes Accepted. If a required deposit remains unpaid, the signature is saved and the quote becomes Awaiting Deposit. The app opens Collect Deposit for team members who have permission to record payments.
If you close payment collection without collecting the deposit, the signature stays saved and the quote remains Awaiting Deposit. Once the required deposit has been collected in full, the quote becomes Accepted. If you cannot record payments, an authorized team member can collect the deposit.
Open the quote’s three-dot menu and choose Download PDF to get a copy with the saved signature. A signed copy is also attached to the quote’s files when signing completes. Review the quote before signing and keep the attached signed copy for your records; downloading again after editing the quote uses its current details.
Check that the quote has a contact and is still a draft or awaiting a response. The action is not shown for accepted, awaiting-deposit, declined, expired, or archived quotes. Your team permissions must also allow you to edit the quote and view its pricing and customer information.
Each quote tracks its progress using these statuses:
You can update statuses manually or allow them to update based on customer actions.
From the Quotes page, you can see a full list of quotes in table view, including:
You can search and filter quotes, review their details, and download copies. Editing and sending depend on your permissions and the quote’s requirements; a completed or pending deposit also locks its payment plan.
Convert an accepted quote to a job when you are ready to schedule and manage the work. Its payment schedule carries over to the job’s Billing section, where you create invoices for the remaining installments. The required deposit stays attached to the quote and does not need a separate invoice.
Direct quote-to-invoice conversion creates a single invoice. To bill the agreed installments separately, convert the quote to a job and create each invoice from its scheduled payment.
See Creating & Managing Jobs for managing the work and Payment Schedules for the billing workflow.
