Understanding User Roles & Permissions

BlueSuite is built for teams of all sizes. User roles help ensure every team member has the right level of access to do their job without compromising security or sensitive business data. This guide covers the four roles available in BlueSuite, what each role can see and do, and how you can customize permissions for your workspace.

Roles Overview

BlueSuite has four roles:

About the Admin (Owner)

The person who creates the workspace is labeled Admin (Owner). This is the same as a regular Admin role. The Admin (Owner) cannot be reassigned or deleted at this time.

Module Access

Modules are the main sections in your sidebar (Schedule, Contacts, Jobs, Quotes, etc.). You can control which modules each role can access in Settings > Team & Access > Roles & Permissions. Admins always have access to everything.

You can toggle module access for Manager, Member, and Limited Member roles in Settings > Team & Access > Roles & Permissions.

Data Visibility Settings

Data visibility lets you control what sensitive information Members and Limited Members can see. Admins and Managers always see everything regardless of these settings. You can configure these per role in Settings > Team & Access > Roles & Permissions.

Show Pricing

Default: On for Members, Off for Limited Members

When enabled, the user can see dollar amounts throughout BlueSuite—totals on jobs, quotes, invoices, services, and subscriptions, line item pricing, billing amounts, and addon prices.

When turned off, the user also loses the ability to:

Show Payments

Default: On for Members, Off for Limited Members

Controls whether the user can see payment-related information, including the Invoices Paid stat card, payment stats on the dashboard, payment tables on quote and invoice detail pages, and deposit and payment sections when managing line items.

Show Customer Contact

Default: On for Members, On for Limited Members

Controls whether the user can see customer phone numbers and email addresses on contacts, requests, and detail pages, as well as call and email action buttons.

When turned off, the user also loses the ability to:

Assigned Schedule Only

Default: Off for Members, On for Limited Members

When enabled, the user’s schedule only shows events they are assigned to, rather than all events in the workspace.

Creating, Editing, and Deleting Records

Admins and Managers can create, edit, and delete any record in the workspace. Members and Limited Members have more limited access:

Data visibility settings add further restrictions. If Show Pricing is off, the user cannot create, edit, or delete jobs, quotes, invoices, quote templates, or service plans. If Show Customer Contact is off, the user cannot create, edit, or delete contacts.

Services

Only Admins and Managers can edit or delete services. Members and Limited Members can view services but cannot modify them.

Detail Pages

On the detail page for a job, quote, invoice, or quote template:

Sending, Converting, and Viewing as Client

Some actions require specific data visibility settings to be turned on for Members and Limited Members. Admins and Managers always have access to these actions.

Sending Quotes, Invoices & Service Plans

Sending requires both Show Pricing and Show Customer Contact to be on. If either setting is off, the send option will not appear. This applies to sending quotes, invoices, service plans, and subscription customer invitations.

Converting Records

Convert actions (like turning a quote into a job, or a job into an invoice) require Show Pricing to be on. When it’s off, all convert options are hidden.

View as Client

The “View as Client” option on quotes, invoices, and service plans requires both Show Pricing and Show Customer Contact to be on, since the client view displays all data including pricing and contact details.

Dashboard & Stats

On module listing pages (Jobs, Quotes, Invoices), stat cards are only visible to Admins and Managers. Members and Limited Members will not see stats on these pages.

On the Dashboard, stat cards are visible to everyone, but with some differences for Members and Limited Members:

Admins and Managers always see stats across the entire workspace.

Schedule

Admins and Managers always see all events on the schedule. For Members and Limited Members, you can configure whether they see all events or only events assigned to them.

By default, Members see all events and Limited Members only see events they’re assigned to. You can change this in Settings > Team & Access > Roles & Permissions using the Assigned Schedule Only toggle.

Contact information shown in event previews also follows the Show Customer Contact setting.

For team management, Admins and Managers can view, edit, and remove team members. Members and Limited Members do not have access to team settings. The Admin (Owner) cannot be edited or removed.
