Team Tracking shows your team’s last reported phone locations during working hours. Use it to see who has reported recently, review one person’s day, and compare team locations with today’s appointments on the schedule map.
Team Tracking is included with Advanced and Enterprise and is available during an active trial. It is an optional module that starts turned off. Each person sharing locations needs the BlueSuite iOS or Android app, a signed-in account in your workspace, their explicit choice to enable sharing on that device, and background location permission.
Locations are periodic reports from a phone. A pin can help with dispatching, but it does not establish an exact arrival time, prove that a job was completed, or create a timesheet.
You can also enable or disable Team Tracking under Settings → Workspace → Modules → Optional Modules. Both switches control the same module. Turning it off hides Team Tracking from navigation and stops new location submissions from being accepted; your role settings are kept.
By default, Members and Limited Members are selected for tracking. Managers and Admins & Owners are not. These settings choose whose phone reports a location; they do not decide who may view the team.
Go to Settings → Team & Access → Users and edit the person. Their GPS tracking setting can follow the role default or explicitly turn tracking on or off for that individual. An individual override takes priority over the role default, but it cannot enable tracking while the whole module is off. The owner follows the Admin & Owner role setting unless given an individual override.
If Team Tracking is enabled but missing from your menu, look under More or use Customize Menu. Your subscription and user permissions must also allow access.
Tracking follows configured working hours, not the time tracker, a job’s appointment time, or whether someone has clocked in. Check these settings before asking your team to start sharing:
For example, if the company’s Monday hours are 8:00 a.m. to 5:00 p.m. and a person’s Monday is set to 9:00 a.m. to 3:00 p.m., that person’s reporting window is 9:00 a.m. to 3:00 p.m. The workspace time zone determines which day and time apply. Day activity uses that same time zone.
Points outside the person’s effective working hours are not saved. Reports collected during working hours may arrive later if the phone was offline. Changing hours later does not rewrite the history already recorded.
If Location Sharing asks for “Always,” tap Open Settings, or go to Settings → Privacy & Security → Location Services → BlueSuite. Choose Always and leave Precise Location on for more useful positions. Location Services must be enabled on the phone. If you only allow access while using the app, BlueSuite cannot start its background tracking task.
The phone controls which permission prompts appear. If a permission was denied or the background choice is not offered in the app, change it in the phone’s settings and return to BlueSuite. See Apple’s location-permission instructions for the phone-side controls.
Tap Open Settings from Location Sharing, or open Settings → Apps → BlueSuite → Permissions → Location. Choose Allow all the time. Enable Use precise location where offered and make sure the phone’s location setting is on. The wording can vary by Android version and manufacturer. See Google’s location-permission instructions.
Android displays a location-sharing notification while the background service runs. iPhone can display a location-use indicator. These are phone-level indicators that location access is active; BlueSuite still filters saved points to the configured working hours.
Location Sharing explains whether sharing is off, on, blocked by permission, or needs “Always” access. It also shows locations recorded today, the first and last report, and stops of at least 10 minutes. If reports have not uploaded yet, it shows how many are waiting. Use Refresh to reload today’s recorded activity.
Open Team Tracking in the web app. The table lists people selected for tracking by your role settings and individual overrides. A person deliberately excluded from tracking will not appear as a missing phone.
Use the column controls to choose the information you want displayed. You can sort the sortable columns and move through pages when needed. The roster does not have a search box or filters. On smaller screens, fewer columns are shown by default.
Team Tracking updates automatically as new reports become available. Location sharing aims for roughly 10-minute updates, but timing can vary. Check Last reported to see how recent a position is.
Ten minutes is a guide, not a guaranteed schedule. A longer wait does not necessarily mean something is wrong. Here are the most common reasons a position may not update:
For example, a location recorded at 10:00 a.m. might upload at 10:18 after a connectivity interruption and appear on the next dashboard refresh. It is still a 10:00 a.m. location, not a current position at 10:18. Readings can also arrive in batches, filling in earlier parts of a day.
The timestamp and “Last reported” age describe when the phone recorded the position, not when you opened the page or when the upload finished. Current location focuses an existing reading; it does not request an immediate check-in from the phone.
A gray report or a gap is a reason to check the timestamp and context, not proof of a fault or missed work. Start with Location Sharing, working hours, permissions, and unsent reports.
The summary cards show Estimated Stops, Estimated Distance, GPS Readings, and Reporting Gaps. Today’s activity refreshes periodically. History is available within the 90-day retention window; future dates cannot be selected.
Numbered markers correspond to stops in the timeline. Select a stop to focus the map on it. Dots represent usable readings, and dashed lines connect portions of the recorded trail. Missing or imprecise readings can break the line. The lines are connections between observations, not turn-by-turn directions or proof of the roads driven.
Fit whole day appears when some of the day’s usable locations are outside the visible map area. Click it to bring the day back into view. It disappears when the locations fit.
On today’s activity, during that person’s effective working hours, the map offers Current location when there is a usable recent report. If that reading is no longer recent, the label becomes Last known location. The timestamp under the label tells you the report’s age. Clicking the button focuses the latest available reading; it does not request an immediate new GPS fix from the phone. The control is absent for historical days, outside working hours, or when there is no usable reading.
Expand All GPS readings for a paginated table of times, location labels, accuracy, and a View action that opens a map for one reading. Use column controls to adjust what is shown. Speed is not displayed.
A label such as Near [property] means the position is close to a saved customer property. It is a proximity match, not a confirmed visit or an exact address lookup for every GPS point. Unknown location means no nearby saved property was matched. You can still use View to inspect the point. Low-accuracy location means the phone reported a position too imprecise to use in the main trail calculations.
A GPS reading, also called a reported position, is one observation from the phone at a recorded time. An estimated stop groups readings that suggest the person stayed in roughly the same place for a while. Several readings can therefore describe one stop. A short visit may produce readings without becoming a stop.
For example, readings close together at 9:00, 9:05, 9:10, and 9:15 can form one estimated 15-minute stop. They do not tell you whether the person arrived before 9:00 or left after 9:15. A long period without reports is not automatically counted as time at that property.
Estimated Distance adds straight-line distances between usable readings. It can miss curves, detours, and travel between sparse observations. It is a rough view of movement, not an odometer reading or mileage log. GPS drift can also make a stationary phone appear to move slightly.
A reporting gap is a stretch of time without enough location information to show the person’s movements. BlueSuite does not assume they stayed at the last reported location throughout that time. A gap means observations are missing; it does not establish that someone stopped working, switched off their phone, or lost signal.
Open the schedule’s map view for today and select Show Team to display reported team positions alongside appointments. Select Hide Team to remove them. The control is available when Team Tracking is enabled, your plan and permissions allow it, and at least one person is selected for tracking.
Use the schedule map when deciding who is near an appointment. Use Team Tracking and Activity when reviewing one person’s reports. Show Team is for today’s schedule; choose a historical day in Activity to review past locations. Always check report ages before dispatching someone based on a pin.
Owners, admins, and managers with Team Tracking access can review the team. Tracked people can review their own recorded activity in the mobile app. Ordinary members do not receive access to everyone else’s location history. Choosing a role for tracking does not grant that role management access.
Location history has a 90-day retention window. Expired records are removed by daily cleanup, which can take up to one additional day. Turning tracking off does not immediately erase the existing history. New locations depend on the module, the person’s settings, their consent on that device, phone permission, and effective working hours. Explain those settings to your team before enabling the module.
After changing tracking settings, ask the person to reopen BlueSuite in the correct workspace so their phone picks up the change. A phone that is offline cannot receive updated settings immediately. Location sharing follows the phone being carried, not a vehicle or a piece of equipment.
Home also shows a Team Tracking disclosure when your workspace has selected you for tracking and you have not enabled sharing. Sharing is off until you agree. Your choice applies to your account, workspace, and device, so another workspace or phone needs its own setup. Signing out stops sharing. An upload already in progress when sharing is turned off may finish; previously uploaded history is retained within the retention window. Confirm that the workspace has Advanced, Enterprise, or an active trial; that Team Tracking is enabled and saved; and that your role has access. Check More and Customize Menu. Being selected for tracking does not itself give someone permission to view the Team Tracking page.
Check the role defaults and that person’s individual tracking override. The table includes selected people, so an excluded person is not listed as “Never reported.” Also confirm that you are in the intended workspace.
First check whether the person’s working day has ended. Otherwise, ask them to open Location Sharing, confirm background permission, and check for reports waiting to upload. Reconnect the phone and reopen the app. Phone power, connectivity, and operating-system background behavior can affect reporting. An old pin should be treated as the last known position until a newer report arrives.
Check the Accuracy column. Phone location quality varies, especially indoors or where reception is poor. Review precise-location permission if the phone is only sharing an approximate position. Unknown location can simply mean the point is away from a saved property; it does not by itself mean GPS failed. Use View to examine the reported point and confirm that the customer property has the correct address.
Current location is only offered for today, during effective working hours, when a usable reading exists. It changes to Last known location when that reading is stale. Fit whole day only appears after some usable locations fall outside the map view. Neither control is expected to remain visible at all times.
Check the date, person, time zone, and working hours. The person may not have been selected for tracking yet, permission may not have been granted, or the phone may have no reports for that day. Records older than the retention window are no longer available. Enabling tracking today does not create past history.
If the issue continues, contact BlueSuite through Support in the app. Include the workspace, affected person, date and time zone, phone platform, and what Location Sharing says. If the app shows queued reports, include that count. This makes it easier to distinguish a setup issue from delayed uploads.
