Contacts keep your customers, leads, and other business relationships connected to their details and work history. Use a contact’s profile to keep information current, review related work, and plan your next follow-up.
Start a new contact from Contacts. Enter a person’s name or a company name, then add the email address and phone number you use to reach them. Choose a Contact Type, such as Lead or Customer, and add any other details your team needs. Save the contact when you are finished.
Search for an existing contact before creating another record for the same person or company. Keeping their work under one contact makes the history easier to follow.
Search the contact list and open the person’s profile to view or edit their details. Keep contact information and relevant custom fields current so your team can use them when preparing work or communicating with the customer.
Link the places you service as Properties. The profile also brings together related work, such as quotes, jobs, and invoices. Add notes to record useful context from conversations and attach files your team needs.
Available details and actions depend on your access. If contact information or editing is unavailable, ask an Admin or the Owner to check your role and customer contact visibility.
Contact Type describes the relationship, such as Lead or Customer. Tags are separate labels you can apply to group contacts in ways that suit your business. You can filter the contact list by type or tags. See How to Use Tags for details.
Create a task on the contact profile when something needs a next step, such as calling about a quote. Give the task a clear title and a due date and time, and assign it to the person responsible. Add supporting details and enable reminders if needed.
Task reminders are internal notifications for the assignee, or the task creator if no one is assigned. Delivery depends on workspace eligibility and the recipient’s notification preferences. Mark the task complete when the follow-up is done, and record any useful outcome in the contact’s notes.
A phone number on file does not mean the contact has agreed to receive texts. Add their primary phone number, enable SMS Notifications only after they have consented, and save the contact. A primary phone number is required before the consent control becomes available.
Keep the consent setting up to date if their preference changes. Recording consent does not send a message by itself. SMS sending also depends on workspace eligibility and the relevant notification settings. See SMS Text Notifications for setup and sending details.
When Stripe is connected and your workspace has access to saved payment methods, you can manage them from the contact profile. Saving a method does not charge it. See Saved Payment Methods for saving a method, choosing a default, and using it for eligible payments.
To request a review from the contact profile, your workspace needs Reviews enabled, eligible plan or trial access, and configured review links. Your role must also have Reviews access. The contact needs an email address for email requests or a primary phone number with consent for SMS. Available channels depend on your workspace’s settings and SMS eligibility.
