Email Notifications

BlueSuite notifications help your team respond to work and keep customers informed. Configure internal alerts and customer messages separately, then use personal preferences to adjust the team notifications you receive.

Choose Who Receives Team Notifications

In the web dashboard, open the workspace notification settings and review Internal notifications. For each relevant alert, choose the recipients and delivery channels, then save. Workspace defaults can include Owners and Admins, Managers, and the company email address.

Team members can receive alerts by email, in the dashboard, or both. The company address receives email only and must be entered in your company details. For example, an overdue-request alert tells your team that a customer request needs attention. Review alerts and equipment reminders are also available for the relevant features.

Some notifications go to people involved in the work, such as an assignee or someone mentioned in a comment. Members can receive these personal alerts even though they are not recipients of general management alerts. Notification preferences do not grant access to records; see Roles & Permissions.

Set Your Personal Preferences

Open your account notification preferences for the current workspace. Where available, use the workspace default or choose email, dashboard notifications, both, or neither. Save your changes.

These preferences affect your own internal notifications. Customer notification settings are managed separately. Payment-restriction alerts to Owners and Admins remain enabled regardless of personal preferences.

Configure Customer Messages

Review Customer notifications in the workspace notification settings. Choose the available delivery channels for the notices you want customers to receive, such as appointment confirmations or overdue-invoice reminders, then save. Optional notices can be disabled by turning off both channels. Scheduled invoice delivery requires at least one channel.

Email requires an email address on the customer contact. SMS requires a phone number, recorded consent, and an eligible paid plan. SMS usage limits also apply. See SMS Text Notifications for setup.

Set Automatic Follow-Up Reminders

Quote follow-ups and overdue-invoice reminders have separate Days Between Reminders settings. The interval controls the early reminders; later reminders become less frequent and stop after about three months. Selecting an interval does not guarantee delivery at an exact time.

Quote follow-ups require an active trial or a plan that includes the feature. They apply while a quote is awaiting a response or deposit and has not expired. Timing is based on when the quote entered its current waiting status. A quote awaiting a deposit can therefore still receive reminders after acceptance.

Overdue-invoice reminders require an active subscription or trial. An eligible invoice can generate a notice when it becomes overdue, followed by reminders using the invoice interval. Customer delivery also depends on the selected channels and contact details.

To stop automatic customer follow-ups for one record, edit the quote or invoice in the web dashboard, turn off Automatic Follow-Up Reminders, and save. Turning this on still requires the workspace settings and eligibility above. Team alerts and messages you deliberately send are managed separately.
